Job Description

To assist the LLP Secretariat Manager on regulatory matters relating to the UK Limited Liability Partnership, associated entities within the LLP group and partners.

Key Responsibilities

·Company secretarial duties relating to the UK LLP and the other UK entities within the LLP group including the submission of documentation to Companies House and other regulatory authorities.
·Ensuring that all partner records are up to date. This will include the use of the firms HR database (SAP) and GEMS.
·Solicitors Regulation Authority (SRA) notifications relating to the firms' qualified solicitors, Registered European Lawyers (RELs), Registered Foreign Lawyers (RFLs) and Exempt European Lawyers (EELs) including the annual renewal of practising certificates for all SRA registered solicitors, RELs and RFLs at the firm.
·Assisting the Partnership Secretary to organise partnership votes.
·Assisting the LLP Secretariat Manager and the General Counsel with the annual renewal of key firmwide insurance policies.
·Ensuring that the external directorships database is kept up to date.
·Ensuring that solicitors complete the "Managing Clients, People and Finance course" within three years of their admission date. This involves co-ordinating dates, guest speaker, catering and evaluations. There are currently two sessions a year.
·Liaising with HR Services and the Learning and Development teams in the Global Service Centre for SRA and Continuing Professional Development (CPD) queries.
·Assisting with the administration of partners' Master Trust and associated arrangements.
·Using wiki technology to update the Partner only wiki intranet site.
·Filing and archiving.
·Various ad-hoc duties and projects for the wider Management team.

*Essential Skills and Experience
oPart ICSA qualified or has an interest in becoming qualified as a Company Secretary.
oUse of Microsoft Outlook and other Microsoft packages, e.g. Word and Excel.
oAttention to detail.
oGood time management.
oAbility to work under pressure.
oAbility to work with people at all levels within the firm.
oGood communicator (both verbal and written).
oAbility to work in a small team, as well as on their own.
oTake responsibility and ownership of role.

oHas experience of working in a law firm or professional services firm.
oUse of SAP or equivalent HR database systems.
oUSE of GEMS or equivalent company secretarial systems.
oUse of Lime Survey
oUse of a Board portal system
