Job Description

1.1Act as personal assistant to the Managing Partner and Partnership Secretary.
1.2Access to Outlook Inboxes: organise inbox and respond to routine emails and flag urgent ones as requiring attention.
1.3Management of calendars for the Managing Partner and Partnership Secretary, including all meetings of the Partners, Partnership Board, Operations Group, Heads of Department and other meetings from time to time.
1.4Liaise with Partnership Board members and Non-Executive Advisers in relation to Partnership Board matters as necessary.
1.5Upload and organise documents onto Diligent including Boardbooks for Partners' meetings, Partnership Board meetings and Operations Group meetings.
1.6Maintain up-to-date the library of information kept in the Resources folders on Diligent for Partners, Partnership Board members and other groups from time-to-time.
1.7Prepare draft minute templates for individual meetings (including basic content) and draft agendas.
1.8Update partnership secretarial records and information.
1.9File original hard copy minutes and documents.
1.10Type from audio and manuscript, including document production and PowerPoint slides.
1.11Draft simple correspondence when required.
1.12Arrange photocopying, printing, organising couriers, sending out of letters etc.
1.13Book and deal with ancillary matters, in relation to venues for events e.g. the Partnership Board Annual Strategy Away Day and other offsite meetings.
1.14Coordination of all travel arrangements and detailed travel itineraries.
1.15Prepare and collate papers ahead of meetings for the Managing Partner and Partnership Secretary.

2.Key Attributes of Executive Assistant/Company Secretarial Assistant
2.1Graduate or equivalent.
2.2Positive and "can do" attitude.
2.3Proactive and ability to horizon scan.
2.4Excellent organisation and coordination skills.
2.5Ability to take initiative and ownership of matters.
2.6Able to remain calm under pressure and work to tight deadlines.
2.7Excellent attention to detail.
2.8Ability to handle confidential information.
2.9Discreet and diplomatic.
2.10Good telephone manner.
2.11Professional, personable and self-assured.
2.12Ability to interact at Board level.
2.13Experience of or interest in supporting a company secretarial function.
2.14An interest in continuous professional development and learning.
2.15Accurate typing speed of approximately 60 words per minute.
2.16Advanced knowledge of Microsoft Word, Outlook, PowerPoint, Excel and Visio etc.
2.17Fluency in French, desirable, but not essential.
