Job Description

DMJ are currently working with a west London based NHS trust, they are currently searching for both an interim and permanent deputy trust secretary.

This role would be suited ideally to an individual with prior experience working within an NHS trust.

Job Summary
** The Deputy Trust Secretary will work with many people across the Trust, including colleagues at all levels, senior management, governors and other stakeholders.

** An important part of the position is to deputise as necessary when the Trust Secretary is overly busy or is otherwise unavailable. For example, deputising by helping to service a high-level working group which (among others) includes some of the Trust's Non-Executives Directors.

** Core company secretarial/corporate governance work will include agendas, Chairs briefing notes, minutes, action schedules, resolutions, notices, corporate calendars, terms of reference and statutory/regulatory compliance.

** The Deputy Trust Secretary will assist the Trust Secretary with the preparation and collation of the Annual Report.

** With oversight by the Trust Secretary, the Deputy Trust Secretary will largely work independently and use their own initiative as membership manager to the Trust, including supporting the governors, maintaining registers, authorising expenses and working on detailed matters such as governor elections.

** The Deputy Trust Secretary will be accountable as the Trust's lead for the management of non-clinical legal claims and to represent the Trust in this respect in relation to the NHS Resolution (formerly NHS Litigation Authority).

** The Deputy Trust Secretary will assist the Trust Secretary in respect of liaison with external legal firms to help ensure the best use of available legal resources.

** The Deputy Trust Secretary will provide such other support to the Trust Secretary as required.

** The individual characteristics required for the Deputy Trust Secretary include being very organised, having excellent drafting skills and being a good 'people person'. The Deputy Trust Secretary will be an enabler and facilitator across a range of matters for the Trust.

** The Deputy Trust Secretary must have much experience (FTSE, Private Practice, Private Groups, Financial Services or Public Sector) of providing best practice professional expertise in respect of governance and company secretarial matters.

** The Deputy Trust Secretary must be a fully qualified Fellow or Associate of the Institute of Chartered Secretaries & Administrators.
