Job Description

Top-ranked City law firm require a Company Secretarial Administrative Assistant to be part of this small team.

Responsibilities include but are not limited to:

Company searches - training to be provided:

*Carrying out online company searches from requests received firm wide, including downloading all relevant documentation from Companies House or other service provider and providing the information through the company search intranet ordering system including, if required, preparing company search reports.
*Liaising with Central Index and Companies Court in respect of winding-up petitions.
*Liaising with agents in respect of foreign company searches.
*Reviewing monthly invoices from Companies House and other service providers and preparing for approval and payment.

Internal Administration:

*Assisting with the general filing requirements for the team.
*Preparation of invoices and statements for the provision of company secretarial services, registered office facility and/or incorporation costs.
*Maintaining correspondence files and archiving files where required.

Company administration:

*Preparation (under guidance) of certain statutory documentation/forms as required, including confirmation statements.
*Assisting with the maintenance of statutory records, including the input of data onto Blueprint OneWorld, for existing client companies and also preparation of the same for newly incorporated companies.
*Helping to maintain the diary system in relation to the forthcoming filing of accounts/confirmation statements.


*Promptly assisting with the forwarding of mail to clients who use the registered office facility.
*Dealing with day to day correspondence including unreferenced/unclaimed mail.
*Composing and typing general correspondence to clients, etc.
*Fielding calls from clients/fee-earners' in respect of company secretarial matters as required.
